How Rillion’s AP to QuickBooks Online Integration Works

Capture

Incoming vendor bills are automatically interpreted, and their data fields are captured using OCR and AI digital capture technologies. This process works for paper, PDF, XML, Word, or other digital formats. The system identifies each bill by the vendor and gathers essential information such as vendor data, reference, amount and tax. Based on supplier references and pre-established rules, the system proposes an approval workflow.

Code & Route

Rillion processes vendor bills using pre-set rules for routing and coding. In addition to the vendor bills being coded to the correct account, project and cost center, you can also see the vendor bill image in both Rillion and QuickBooks.

For even more automation, add on Rillion’s AI-engine for automated coding. Rillion’s integrated AI feature continually learns and updates coding predictions with the final coding and routing rules – which means that the automated coding proposals improve over time.

Approve

Utilizing preset rules, vendor bills are auto-coded and routed for approval to the designated approver or exception handler. Approvers have complete access to the payment and approval status of the vendor bills, and can approve them on any device at any time with a click. Automatic reminders and notifications are sent to ensure the vendor bills are approved in time. If all is in order, the vendor bill is forwarded to QuickBooks Online for final booking and recording. Exceptions are directed to the appropriate individual by the system, following predefined rules.
