How our Pinewood AP automation integration works

Sync

The process starts with the data already in Pinewood. Purchase orders and finance information, such as suppliers, accounts, and departments, sync from Pinewood to Rillion. When an invoice arrives, Rillion already knows what was ordered, from which supplier, and how your group's books are structured. Nobody has to set the same data up twice.

Capture

Supplier, parts, and service invoices come in by email, PDF, or paper. Rillion's AI reads each one and extracts the supplier, invoice number, PO reference, line items, amounts, and tax. Invoices with a PO reference are linked back to the matching Pinewood order automatically, so nobody has to rekey anything or search Pinewood for the original purchase.

Match

For PO invoices, Rillion matches each invoice against its Pinewood purchase order and goods receipt, line by line. It supports three-way-matching and invoices that match fully continue without anyone touching them. Price or quantity differences are flagged, so your team deals only with the exceptions.

For cost (non-PO) invoices, Rillion AI predicts coding and routing based on your historical invoice data. It proposes distributions to the correct account, project, and cost center, then learns from every final posting, so proposals get more accurate over time.

Need fixed logic for certain suppliers or cost types? Add your own rules for coding and routing. Rules handle the cases you want locked down, and AI takes care of the rest.

Approve

Invoices go to the right approver by dealership, department, brand, or amount. Approvers can see the invoice, its coding, and any match exceptions in one place, and automatic reminders keep things moving so month-end isn't held up. Exceptions follow predefined paths, so nothing stalls with the wrong person.

If everything is in order, the invoice is forwarded to Pinewood for final booking and recording. Any exceptions are directed to the appropriate individual according to predefined paths so nothing stalls.
